We are delighted that you will be joining us as a speaker at TechEx North America 2025. Thank you so much in advance for taking part, we appreciate your time and contributions. The Speaker Hub contains all the information required for you to participate in the event as a speaker.

This event takes place on June 4-5, 2025 at Santa Clara Convention Center.

Get access to The TechHub & Content Library
as a Virtual element to our TechEx event series.

As a speaker, you have access to all on demand content, virtual presentations and on-site recordings.

Virtual Event Platform

As a speaker you have been automatically registered for our virtual event platform. You can network with our attendees whilst on-site and connect with attendees. The platform will go live 4 weeks before the event, and your Conference Producer will share your login-details.

FAQs

Speaker Passes

Your Speaker Passes will be emailed to you a week before the event from noreply@meetings.encoremedia-group.com. It will give you access to the Expo Floor and all Conference stages, the Speaker Lounge and our Networking Party at the end of Day One. We advise you print this pass in advance of the event to avoid queuing at the registration desk.

Please check your spam folder or contact your Conference Producer if you experience any issues.

Solo Presenters

Ahead of the show date, please send your Conference Producer your full presentation in PowerPoint or PDF, 16:9 Widescreen format (with videos embedded in slides) by the 23rd of May 2025.  This is so the Conference team has an opportunity to test the slides with the AV Team and have a back-up copy at hand.

Videos and audio used in the presentation must be embedded into the slides as there is no internet connection available at the podium. ‘Presenter View’ cannot be used for presentation notes – these must be bought on a separate device or even physical note cards.

Panel Participants

You will receive an email from your Conference Producer connecting you with your moderator and fellow panelists to initiate a pre-panel discussion a few weeks before the event.

Please arrive at the stage and make yourself known to the Conference Producer at least 1-hour in advance of your session (or as soon as you arrive onsite) to then be back at the track 10 minutes before the discussion’s start time. You will be introduced to your fellow panellists at this point (if you have not already met onsite).

All panellists will be seated on the stage with handheld microphones and with the moderator either at podium or on the top table.

Virtual Event Platform

Lunch Vouchers

When you arrive at your stage, you will be provided with a lunch voucher totalling $20 for each day. You will be able to use this at the various food and drink vendors in the Expo hall.

Onsite AV

We strongly advise that you use our onsite equipment provided by our AV Team to avoid as many technical difficulties as possible.

If you are using slides for presentations, please could you provide a copy to your Conference Producer in PowerPoint or PDF, 16:9 Widescreen format. Videos and animations need to be embedded.

If you wish to use your own device, notify your Conference Producer in advance to arrange time on the day of the event to carry out a tech-check. Please bring your own HDMI adapters if using an Apple device.

Each stage is equipped with a the lectern and static mic, a comfort monitor showing you the screen behind you and a wireless clicker to advance slides. You will be able to choose to use the static microphone at the lectern, a handheld microphone, or a headset microphone.

Speaker Lounge

Speakers have access to our Speaker Lounge. This is a separate room off the expo floor containing complimentary refreshments and is a quiet space to take meetings, work quietly or network with fellow speakers. It is positioned to the right of the entrance to the Expo Hall – see our Floorplan here.

Networking Party

Our Networking Party will be taking place at 6:00 pm – 9:30 pm on the 4th of June at Terra Courtyard at the Hyatt Regency Santa Clara (5101 Great America Parkway Santa Clara, CA 95054). Your Speaker Pass will grant you access so please have your badge ready to show at the entrance.

Onsite Filming

Our official video partner Free Bird Film will be covering the event and are offering some great packages for presentations to be filmed:

Single Angle Presentation Recording £399 + VAT – includes one camera angle capturing speaker and slides, high quality audio and ownership of the final video

Double Angle Presentation Recording £449 + VAT – includes a two-camera set-up capturing a wide of the speaker and slides and a profile close up of the speaker, high quality audio, ownership of the video and transfer of the raw files

Exhibitor Brand Video £499 + VAT – the filming and editing of a short promotional video featuring shots of your stand, products and staff, plus an interview or voiceover

Double Angle Presentation Recording + Interview £499 + VAT – includes a two-camera set-up capturing a wide of the stage and a profile close up of the speaker, high quality audio, ownership of the video, transfer of the raw files and the filming and editing of an interview next to your exhibitor stand with any member of your staff

Double Angle Presentation Recording + Exhibitor Brand Video £799 + VAT – includes a two-camera set-up capturing a wide of the stage and a profile close up of the speaker, high quality audio, ownership of the video and transfer of the raw files AND the filming and editing of a short promotional video featuring shots of your stand, products and staff, plus an interview or voiceover
